Adding Your Webnode Email Address to Microsoft Outlook 2016

This guide describes how to sync your Webnode webmail with Microsoft Outlook 2016. The settings we use in this tutorial are valid for almost all other mail clients and can also be used for older versions of Outlook. You can find instructions for earlier versions of Outlook in our knowledgebase.

Before syncing an email account, you must first create one with Webnode's webmail system.

IMPORTANT: In order to correctly set up your webmail account, you have to know which Webnode mailserver contains your email account. You can find this information in the email you received after setting up your Webnode webmail account. Log in to your email account and open that email to see if your account is located on mail1.webnode.com, mail2.webnode.com or mail3.webnode.com. You can also contact us here.

You are now able to set up Microsoft Outlook 2016 by following the directions below:

1. Open the program Microsoft Outlook 2016 and click the tab File.


2. Click the button Add Account.


3. Choose the option Let me setup my account manually and click Connect.

4. Choose POP or IMAP account type. You will be asked to enter your email account password.

To find out what is the difference between IMAP and POP, scroll down to the end of the article.

5. Once you have entered your password, a window with information about the certificate you are using may appear. In this case, just confirm the certificate. Subsequently, you may also need to enter a password and user name for the default server. However, these parameters are not valid, so you must choose Cancel. In next window, choose Change Account Settings.

If the above windows do not appear, continue to point 6.

6. Enter the correct mailserver. Server port numbers will vary according to the account type (POP or IMAP).

7. a) POP account settings

Incoming mailserver mail1.webnode.com, mail2.webnode.com or mail3.webnode.com

Outgoing mailserver mail1.webnode.com, mail2.webnode.com or mail3.webnode.com

Server port number (incoming mailserver): 995

Server port number (outgoing mailserver): 465

Check the box This server requiers an eccrypted connection (SSL/TLS)

b) IMAP account settings

Incoming mailserver mail1.webnode.com, mail2.webnode.com or mail3.webnode.com

Outgoing mailserver mail1.webnode.com, mail2.webnode.com or mail3.webnode.com

Server port number (incoming mailserver): 993

Server port number (outgoing mailserver) 465

Choose encryption type SSL / TLS

Note: For your IMAP account, you'll still need to set the folders correctly. For more information, go to point 9.


8. Click the button Next. You will be asked to enter your email password. Once you will enter it, you will see information that your account was set up correctly.


9. If you use an IMAP account, you'll still need to make settings for Outlook Folders in Outlook. Go to Outlook and right-click in the Inbox. Then select IMAP folders.


10. In the next step, uncheck the option When displaying hierarchy in Outlook, show only subscribed folders. This option will then be disabled.


Then the emails and folders begin to be loaded. If there is a large number of emails, the process may take a while. Wait for a few minutes or try restarting Outlook.

At this point, your mailbox should be set up and connected to the mail client.

TIP:

1. What is the difference between POP and IMAP?

Both POP and IMAP are incoming mail protocol, the way the mail client works with incoming messages that are stored on the mail server.

When using POP (POP3), messages are downloaded to your device. This means that they will be deleted from the server and you will not be able to read them on another computer or through another mail client. The advantage of POP is that the messages will be available on your computer without being connected to the internet. POP protocol is best for those who have a poor or slow internet connection, or who use only one device to manage their email.

IMAP, unlike POP, shows real-time messages on the mail server. Changes you make on one device will then be reflected on the other device or other mail client. For example, if you delete incoming email on your mobile phone, this change will be reflected on all the other devices you use, just like in the web mail interface. You will also see all emails sent using any device. Keep in mind that IMAP requires a constant Internet connection.

If you travel often, check your email on multiple devices and computers, IMAP is a better solution for you.

2. You cannot get your email account to work in your email client?
